Facilities Coordinator

Facilities Coordinator

As a Facilities Coordinator, you will be responsible for performing day-to-day facilities activities while utilizing your excellent customer service skills and ability to communicate effectively with staff and external vendors.


You will

  • Manage, action and assign building service requests in a timely manner within the facilities team
  • Schedule facilities preventative maintenance, repair work and services on behalf of the organization
  • Manage the security access control system for employee and contractor site access
  • Administer site parking assignments
  • Purchase goods and services for facility operations
  • Support onboarding of new hires by providing site safety orientations, access and assignment of facilities issued assets and equipment
  • Provide support to departments with respect to stationary requirements and other supply requests
  • Monitor to ensure contractors are compliant and adhere to the applicable acts, codes, regulations of work activities while on CARNA property
  • Ensure emergency preparedness supplies and first aid supplies are adequately stocked and replenished
  • Assist with emergency response drills and activities
  • Coordinate training and scheduling of onsite personnel qualified to administer First Aid
  • Plan and execute safety communications and events

You possess

  • Diploma in business administration, or administrative support; equivalent combinations of education and experience may be considered
  • Current first aid certification is an asset
  • Minimum 3 - 5 years' experience in administrative facilities, HSE or administrative assistant role
  • Strong attention to detail, specifically in reviewing contracts/quotes/pricing/scope of work
  • Excellent organizational, time management, planning and executing skills
  • Solid presentation, written and verbal communication skills with the ability to clearly convey information to a variety of audiences
  • Intermediate proficiency in Microsoft Office Suite
  • Capacity to solve complex problems using comprehensive professional judgment, creativity and innovation
  • Aptitude to work independently as well as in a team, with an eagerness to help where needed
  • Ability to build and maintain lasting relationships with internal teams, vendors and stakeholders
  • Flexibility to work occasional evenings and weekends based on schedule demands
